Cancellation and Refund Policy
Eventyria Travel Agency
This Cancellation and Refund Policy forms an integral part of the Terms of Use and Service Agreement.
1. Cancellation by the Participant
If the Participant cancels her participation in the trip for any reason whatsoever, the deposit paid shall be strictly non-refundable.
Subsequent payments will be refunded according to the following schedule:
More than 90 days before departure: 50% of the total amount paid will be refunded (excluding any non-refundable supplier fees).
Between 89 and 60 days before departure: 30% of the total amount paid will be refunded (excluding any non-refundable supplier fees).
59 days or fewer before departure: No refund will be issued.
Any non-refundable amounts charged by third-party providers (including but not limited to hotels, transportation companies, activity operators, or insurance providers) will be deducted from any applicable refund.
Refunds, if applicable, will be processed within a reasonable timeframe after confirmation of cancellation.
2. Cancellation by the Agency
If the trip is canceled due to causes directly attributable to Eventyria Travel Agency, the Participant will be entitled to either:
A full refund of the amounts paid; or
The option to transfer the full amount paid to a future departure date.
If the trip is canceled due to force majeure events — including but not limited to pandemics, natural disasters, government restrictions, political instability, or other unforeseen circumstances beyond the Agency’s control — the Agency will make reasonable efforts to:
Reschedule the trip; or
Negotiate refunds or credits with suppliers.
However, full reimbursement cannot be guaranteed in cases of force majeure, as refunds will depend on supplier policies.
3. Transfer of Reservation
The Participant may transfer her reservation to another eligible person (woman, at least 18 years of age) up to 60 days prior to departure, subject to:
A USD $50 administrative fee; and
Payment of any additional costs imposed by third-party providers for name changes or booking modifications.
Transfers requested less than 60 days before departure may not be accepted.
4. Late Arrival and Joining the Trip
If the Participant fails to arrive at the designated meeting point at the scheduled date and time, she may join the trip later at her sole responsibility.
All expenses and logistical arrangements required to rejoin the group (including transportation, accommodation, or other costs) shall be exclusively borne by the Participant.
Any missed activities, services, accommodations, or itinerary components due to delayed arrival will be non-refundable and non-transferable.
5. No Show / Early Departure
If the Participant:
Fails to appear on the trip start date without prior notice of delay; or
Voluntarily abandons the trip after it has commenced;
No refund will be issued under any circumstances.
6. Deposit
The deposit paid to secure a reservation is strictly non-refundable under all circumstances.
This provision applies independently of any refund eligibility for subsequent payments under the cancellation schedule described above.
7. Partial Payments
Any partial payment made toward a trip constitutes confirmation of the reservation and acceptance of this Cancellation and Refund Policy.
All partial payments are subject to the same cancellation terms described herein.
8. Passport, Visas, and Travel Documentation
The Participant is solely responsible for:
Holding a valid passport;
Obtaining required visas and travel authorizations;
Complying with immigration and entry requirements of destination countries.
No refund will be granted in cases of visa denial, refusal of entry, incomplete documentation, or failure to meet immigration requirements.
9. Travel Insurance
Most trips organized by Eventyria include basic travel insurance. The scope, limitations, and coverage details will be specified in the trip itinerary and informational materials.
If a trip does not include insurance, or if the Participant chooses to purchase additional coverage, it is her sole responsibility to acquire such insurance and assume the associated risks.
It is the Participant’s responsibility to carefully read and accept the terms, conditions, exclusions, and limitations of any insurance policy included or independently acquired.
